Apprentice Administrator

We are recruiting for a first-class apprentice to work within the administration team. The role is very much based around being a team player, who has a flexible attitude and is willing to get the job done. The key function is to assist our Office Manager with the day to day administrative control of the business.

Your role will include being the initial point of contact for Arque’s’ clients, suppliers and employees so a good telephone and face to face manner will be essential to portray a professional image of the company, to maintain a strong and professional working relationships with our current client base and supply chain while supporting in building new contacts.

Duties:

  • Phone – Responsible for answering all incoming phone calls, collating relevant information to transfer the call to the correct colleague promptly, taking messages and relaying them in a timely manner. Managing the answerphone and dealing with general enquiries within the scope of your remit.
  •  Reception – Responsible for meeting and greeting all visitors to the Arque Office professionally.
  • Deliveries - Receiving, unpacking, checking against delivery note and distribution of items received at the office. 
  • Post - Opening and distributing post.
  • Emails - Monitoring of the company email inbox, and redirection of emails as appropriate.
  • Filing - paper and electronic.
  • Stock Control – regular stock taking of supplies, to include work wear, stationery, safety gear (PPE), first aid and refreshments and replenishing stock in line with minimum stock level limits.
  • Estimating Support – Managing the emails received. Accessing various platforms to download all tender information, printing of drawings and relevant tender documents, creation of paper and electronic estimate files and updating the in-house IT systems in line with process.
  • Orders - Creating and issuing orders to suppliers and subcontractors, using our various in house IT systems to document accurately
  • Enquiries - Issuing enquiries to suppliers and sub-contractors, as directed.
  • Supporting the Managers and Accountant with general administrative duties, such as:

Ø  Photocopying/scanning

Ø  Proof reading letters.

Ø  Reviewing Construct software to ensure information is up to date.

  • Invoices - Uploading Invoices received to the construction management system.

Carpenters

We are looking for carpenters to carry out works on various sites of any size providing quality to a high and safe standard. Instructed by the Site Foreperson and other Managers you will need to order materials, assist others, develop good relationships, have due regard to the environment and seek to expand your experience and knowledge in site management.
